We are seeking a highly organized and proactive Executive Assistant for our client in Perry! You will provide comprehensive administrative support to the CEO, ensuring smooth operations and facilitating effective communication.
Responsibilities:
- Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Anticipate scheduling conflicts and proactively resolve them.
- Prepare meeting agendas, materials, and ensure timely distribution.
- Communication and Correspondence:
- Screen and prioritize incoming calls, emails, and other forms of communication for executives.
- Draft, edit, and proofread emails, reports, presentations, and other documents as required.
- Facilitate internal and external communication, ensuring timely and accurate dissemination of information.
- Organize and coordinate meetings, conferences, and special events, including logistics, agenda preparation, and attendee management.
- Take meeting minutes, track action items, and follow up on outstanding tasks.
- Make travel arrangements, including flights, accommodations, and ground transportation, for executives and visiting clients.
- Process expense reports and reconcile credit card statements in a timely manner.
- Maintain and update confidential records, files, and databases.
- Conduct research, gather data, and prepare reports or presentations as requested.
- Build and maintain strong working relationships with internal teams, external stakeholders, and clients.
- Serve as a point of contact for executive inquiries and requests, providing excellent customer service.
- Assist with special projects, initiatives, and other tasks as assigned by executives.
Requirements:
- Bachelor's degree in business administration, communications, or a related field (preferred).
- Proven experience as an executive assistant or similar role, supporting C-level executives or senior management.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Exceptional verbal and written communication skills, with keen attention to detail.
- Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management systems.
- Strong interpersonal skills, with the ability to maintain professionalism, confidentiality, and discretion.
- Proactive problem-solving and decision-making abilities.
- Flexibility and adaptability to changing priorities and requirements.
- Ability to work independently with minimal supervision while also being a collaborative team player.
